What the job involves
As the NYC Program Manager at Hayden AI, you will spearhead the success of our largest project with the New York City-based Transit Client by ensuring seamless coordination between our internal teams and our challenging client. This client-facing role requires exceptional communication skills and a talent for building strong relationships while driving project deliverables.

Responsibilities

  • Demonstrate dynamic communication skills to thrive in a fast-paced, agile environment, effectively managing shifting priorities while aligning with both client and company objectives.
  • Collaborate closely with the Account Manager to align project objectives with client needs and expectations, ensuring a seamless client experience throughout the project lifecycle.
  • Effectively work with cross-functional teams to effectively manage and ensure timely reporting for health monitoring and production devices, as well as the associated portal.
  • Advocate for the client internally, championing their needs and priorities while balancing company objectives and resources to achieve mutually beneficial outcomes.
  • Navigate complex client dynamics and challenging situations with professionalism and diplomacy, fostering trust and confidence in Hayden AI's ability to deliver results
  • Lead project planning, requirements capture, and test plan development, ensuring solutions meet program objectives and satisfy client needs.
  • Foster teamwork and build relationships with diverse stakeholders, integrating, motivating, and guiding cross-functional teams toward project success.
  • Identify and lead continuous improvement initiatives across various operational domains to enhance project efficiency and effectiveness.
  • Effectively communicate project status and progress through concise, articulate reports and presentations, catering to both client and internal stakeholders.
  • Organize program planning, meetings, reports, and presentations, while continuously improving processes to mitigate program issues and risks.
  • Utilize deep knowledge of project management best practices to navigate large, complex projects successfully.
  • Participate in internal and client-facing meetings, reports, and presentations.
  • Develop and manage project schedules, and risks, and simultaneously be the driving force that leads activities to meet the technical and contractual requirements specified in the contract to achieve program goals and deadlines
  • Assist with coordination of materials procurement; Engineering and Field Service resources for projects; and coordination of deliveries to customer sites and startup with Field Service team.
  • Support Finance team on invoicing and coordination of invoicing.
  • Track project milestones and deliverables to ensure successful and timely delivery of projects based on agreed-upon contract terms.
  • Efficiently manage the customer and internal resources to meet all established milestones, ensuring targeted completion dates are achieved using internal project management tools.
  • Establish, implement, and maintain an effective Project Plan to ensure all technical deliverables are met and the Project is on schedule.
  • Support Quality Organization to implement methods to inspect, test and evaluate products and work results, ensuring that they adhere to quality standards and customer requirements
  • Support Quality Organization with defect management and reports with root cause analysis.
  • Manage and actively work with the field and engineering team to identify and resolve any issues of the fleet

Qualifications

  • 5+ years of client-facing Program or Project Management experience
  • Bachelor's Degree in Engineering or equivalent experience
  • PMP and/or related project management certifications are preferred.
  • Proven leadership/team management skills with the ability to optimize team performance and development (Growth Mindset approach)
  • Excellent analytical and problem-solving skills
  • Hands-on approach in taking charge of issues and seeing them through to resolution
  • Experience in Public Transit business or similar industries preferred
  • Ability to operate under deadlines while still meeting standards
  • Excellent verbal and written communication.
  • Ability to travel and work during non-traditional hours to accommodate global operating teams.
  • Proficiency in Microsoft Office suite, Smartsheets, various process flow online tools, and Google Suite products to facilitate project management tasks.

Target Salary Range

  • $130,000 - $160,000
  • Company granted equity
